Attendance policy.
At Affinity Podiatry, we strive to provide exceptional service to all our patients. To ensure the smooth operation of our appointments and respect for both our clinicians' time and the needs of our clientele, we have implemented the following cancellation policy:
Cancellation Notice: Patients are required to provide a minimum of 48 hours’ notice for any appointment cancellations or rescheduling requests. This allows us to accommodate other patients who may be on our waiting list and ensures optimal utilisation of our resources.
Special Circumstances: We understand that emergencies and unforeseen circumstances may arise. In such cases, patients are encouraged to inform us as soon as possible, and we will do our best to accommodate their needs without penalty. Special circumstances may include medical emergencies, sudden illness, or unavoidable conflicts.
Cancellation Fee: Patients who fail to provide the required 48-hour notice for appointment cancellations or do not attend their scheduled appointment without prior notification will be subject to a cancellation fee. This fee amounts to 50% of the original appointment fee.
Repeat Offenders: Patients who repeatedly violate our cancellation policy may be required to prepay for their appointments in full at the time of booking. This measure is implemented to ensure commitment and fairness to both our patients and practitioners, as well as to maintain the integrity of our appointment scheduling system.
Payment: Any cancellation fees incurred will be charged to the patient's account or payment method on file or an invoice will be generated and sent via email and/or post. Patients will be notified of the charge via email or phone, and a receipt will be provided upon request.
Appeals Process: Patients who believe they have valid reasons for waiving the cancellation fee or who wish to appeal the decision may contact us to discuss their situation. Each appeal will be considered on a case-by-case basis, with fairness and understanding as guiding principles.
